Job Overview:

Primarily provides administrative support to the Senior Regional Manager Primary Care and Medical Leader for Juneau Primary care. Our goal is to provide the best healthcare displaying service, professionalism and compassion.


This position requires excellent communication and prioritization skills. Flexibility is needed as priorities can change quickly. Confidentiality and professionalism are extremely important.


$22.17-$26.55 per hour, DOE.


Provides comprehensive administrative support to the Senior Regional Manager Primary Care and Medical Leader for Juneau Primary care to include:

  • Analyzing and evaluating issues that are typically diverse in nature and requiring input. Provides sound advice and recommendations to the Senior Regional Manager and Medical Lead on the credible orchestration of events and activities.
  • Developing plans, coordinating travels, etc., to support the Senior Regional Manager and Medical Lead’s participation and involvement in conferences, formal and informal appearances and presentations.
  • Managing operational schedules by exercising control over appointments with authority for commitment of time. Forecasting potential requirements, de-conflicts problems, and plans and projects time for historically recurring requirements. Providing training, advice, and assistance on all administrative matters. Responsible for the proper handling of telephone calls, messages and short-fused tasks. Declining appointments and activities in conflict with other engagements, and as necessary, arrange for a substitute to represent the Senior Regional Manager or Medical Lead.
  • Manage relevant email groups at ELMC, Mountainside UC, etc., and ensure they are updated on a monthly basis.
  • Developing read-ahead schedules, pre-briefs, and answering specific questions pertaining to events and activities.
  • Planning, scheduling and directing arrangements for activities hosted by the Senior Regional Manager or Medical Lead.
  • Receiving, screening, and answering telephonic and personal visitors/guests. Answers inquiries and makes referrals as appropriate. Composes a wide range of administrative correspondence for the Senior Regional Manager and Medical Lead. Prepares a variety of material in final form from rough drafts, notes, or oral instructions.
  • Arranging for staff and special meetings which includes reserving rooms, notifying participants of time/place/subject, arranges for necessary equipment, food and other needs. Attends both administrative and clinical meetings, taking meeting minutes, summary notes and prepares reports and presentations. Assists in document management, and may be responsible in assisting with policies, drafts, letters and other correspondence. Makes and manages travel arrangements and accommodations.
  • May be required to accompany the Senior Regional Manager and/or Medical Lead to meetings, conferences, and other working sessions required. Analyzes internal office workflow and establishes procedures to improve effectiveness and efficiency of operations for better management of primary care assets.
  • Assisting with ordering supplies and equipment in Lawson. Works with the Medical Staff Office as needed to ensure timely completion of credentialing and privileging of SEARHC providers, residents, and students. The incumbent will exercise authority as delegated, reflecting independent judgment and discretion in the performance of duties and special projects.
  • Performs other duties as assigned by the Senior Regional Manager or Medical Lead.




Baseline Qualification Requirements:                     

  • High school diploma or GED. Associates degree in healthcare/business related field preferred.
  • 3-5 years of office experience as an administrative assistant or other administrative position.
  • Medical office experience preferred.


Knowledge, Skills & Abilities:

  • Knowledge of organizational function and procedures of SEARHC, which enables the incumbent to make judgmental, time-sensitive decisions in handling phone calls, visitors, scheduling appointments, etc.
  • Knowledge and documented experience with Word processing and Microsoft Office package.
  • Ability to work independently in a faced-paced, and sometimes stressful, environment.
  • Strong communication and analytical skills, both written and oral.
  • Excellent interpersonal and personal relations.
  • Ability to provide an environment of team and patient centered approach to service.
  • Ability to maintain confidentiality.
  • Incumbent exercises a broad knowledge governing administrative and technical aspects of ambulatory care operations plus an understanding of how policies and procedures impact administrative and clinical operations, objectives, and timing of key events in orchestrating, integrating, and synchronizing staff actions, events, and activities.
