Job Overview:

Provides administrative and secretarial assistance to the SVP/Chief of Operations, Directors and Managers as directed by the COO.  This assistance includes all communications that involve the SVP/Chief of Operations Office and coordination of various special projects.   The Executive Assistant will need to be able to quickly change project or job focus on a regular basis due to the multiple requirements of the position and the multiple and extensive customers the position will need to provide responses to and/or assist.

Responsibilities:

  • Provides administrative support to Senior Vice President, which may include interacting with the Board of Directors, corporate professional staff, supervisors, department heads and agencies/entities. Receives and reviews all incoming correspondence.  Responsible for preparation and accuracy of relevant outgoing correspondence and documents.  Develops, implements and maintains appropriate records and files.  Coordinates travel arrangements for the Senior Vice President and department directors and managers. Provide administrative support to department directors. Disseminates Senior Vice President’s schedule to other administrative department directors. Assists in the distribution of reports.
  • Completes special projects as assigned by Senior Vice President. Projects may involve investigation, research, and collection of data. Compiles data and formulates conclusion into appropriate presentation for Senior Vice President. Examples of projects include; Risk Management, Insurance, Financial data, Human Resources Management. Special projects includes preparing the Chief of Operations quarterly board packet as directed by the CO.
  • Attends meetings as directed by the Senior Vice President to record minutes of the meetings and to collect and disseminate applicable information. Represents the Senior Vice President in his/her absence as requested, ensuring confidentiality and professionalism at all times.

Qualifications:

Education

  • Bachelor’s Degree in Business Management, Healthcare Administration or other related field.  Relevant work experience may be substituted for the degree.

Experience

  • 2 years office experience working as executive assistant or equivalent position demonstrating an understanding of advanced office functions including computer word processing and spreadsheet applications.

Knowledge, Skills & Abilities:

Knowledge

  • Advanced knowledge of computer word-processing applications.
  • Knowledge of computer spreadsheet applications.
  • Knowledge of customer service principles and processes.

  • Ability to perform multiple complex administrative processes simultaneously, independently, and with a high degree of confidentiality.
